The Importance of Up-to-Date Contact Details

There are a number of reasons why it’s so important that you have the most up-to-date contact details for your clients.

Maybe they didn’t want to rebook at their recent appointment so you’d like to send them a reminder or maybe you have some exciting offers to send them to encourage them to visit. No matter what, regularly ensure you have the correct, up-to-date contact details.

Effective Communication

With the continued advancement of technology, people are continuously updating their email addresses, mobile phone number and social media accounts (yes, social media can be a great form of communication for small business owners!). Therefore, we suggest checking with clients that you have the right details every six months or so.

If you send emails, check to see if any have bounced back or if you get any error notifications. If so, remove these addresses from your database and be sure to contact the individual to update their email address. Having the correct details for your clients will allow you to communicate more effectively with them. You will be able to send out reminders, let them know about any offers and keep them up to date about salon events.

Simple Reminders Can Go a Long Way

If you believe that have the correct contact details and haven’t seen or heard from a client in a while, contact them to reach out or offer an incentive to entice them back. Remember, getting existing clients to return is much easier than getting new clients through the door.

Also, if your client hasn’t returned you might want to find out why, even if it is negative, take this as an opportunity to make changes and prevent a client leaving in the future for the same reason. Feedback is an excellent tool for improving the way that you do business.

How Do You Record Contact Details?

Nowadays, it’s much easier and more effective to store contact details on a computer as opposed to an address book. There are various systems out there that can safely store these details for you that are designed for salon use. Alternatively, a Microsoft Excel spreadsheet can also be a straightforward way to capture and store those important contact details.

On an important note, ensure that you are well aware of the upcoming changes that the GDPR will bring on 25th May 2018. The regulations differ for different business types and sizes, so it’s important to know how to handle personal data by the date the new law comes in.
